Booking Policy
At Cardiff Chiropractic Clinic, we aim to make booking your appointment as straightforward as possible. Whether you are visiting us for chiropractic care, back pain, neck pain, joint pain, sports injuries, shockwave therapy or sports massage, this booking policy explains how appointments work, how to rearrange your visit, and what happens if you need to cancel.
We are a Cardiff chiropractic clinic based in Pen-y-Lan, providing professional, patient-centred care for people across Cardiff and the surrounding areas.

Booking an appointment
Appointments can be booked online, by phone, by WhatsApp or by email.
You can book with us if you are a new patient looking for an initial chiropractic consultation, an existing patient arranging follow-up chiropractic treatment, or someone looking for support with musculoskeletal pain, sports injuries, soft tissue problems or shockwave therapy.
When booking, please provide accurate contact details so that we can send appointment confirmations, reminders and any important information before your visit.

New Patient Chiropractic Consultations
If you are visiting Cardiff Chiropractic Clinic for the first time, please book an Initial Consultation.
Your first chiropractic appointment allows time for your chiropractor to take a full case history, understand your symptoms, carry out an appropriate examination and discuss the best treatment options for you.
Where clinically appropriate, treatment may be included during the same appointment. If your chiropractor feels that treatment is not suitable, or that further investigation or referral is required, this will be explained clearly.

Follow-Up Chiropractic Appointments
Follow-up appointments are for existing patients who have already had an initial consultation at Cardiff Chiropractic Clinic.
These appointments are used to continue your care plan, review your progress, provide chiropractic treatment where appropriate, update exercises or rehabilitation advice, and answer any questions you may have.
If it has been a long time since your last visit, or if you are attending with a new condition, we may recommend a longer appointment or a reassessment.

Cancellations and Rescheduling
We understand that plans can change. If you need to cancel or rearrange your appointment, please give us as much notice as possible.
We ask for at least 24 hours’ notice for cancellations or changes to your booking. This gives us time to offer the appointment to another patient who may be waiting for chiropractic treatment in Cardiff.
Appointments cancelled with less than 24 hours’ notice may be subject to a late cancellation fee.

Missed Appointments and No-Shows
If you do not attend your appointment and have not contacted us in advance, this will be recorded as a missed appointment.
Missed appointments may be charged a £45 no-show fee.
We do not apply this fee to punish patients. It helps cover the lost clinical time and the cost of an appointment slot that could otherwise have been offered to another patient.
We will always use discretion in exceptional circumstances, such as sudden illness, emergencies or situations outside your control.

Running Late
Please arrive on time for your appointment.
If you are running late, please contact the clinic as soon as possible. We will do our best to accommodate you, but if there is not enough time remaining to complete your appointment safely and effectively, we may need to shorten or rearrange the appointment.
If you arrive too late to be seen, the appointment may be treated as a late cancellation or missed appointment.

Payment
Payment is usually taken at the time of your appointment unless agreed otherwise in advance.
Current appointment fees are listed on our Fees page. Please check the website or contact the clinic if you are unsure which appointment type to book.

Suitability for Chiropractic Care
Your safety is our priority.
Booking an appointment does not guarantee that chiropractic treatment will be provided. Your chiropractor will assess whether treatment is appropriate for your symptoms, medical history and examination findings.
If chiropractic care is not suitable, we may recommend that you contact your GP, another healthcare professional, or seek urgent medical advice depending on your presentation.

Urgent or Emergency Symptoms
Cardiff Chiropractic Clinic is not an emergency medical service.
If you have severe or worsening symptoms, chest pain, signs of stroke, loss of bladder or bowel control, unexplained weight loss, fever, recent significant trauma, or any other urgent medical concern, please contact NHS 111, your GP, or call 999 in an emergency.

Appointment Reminders
We may send appointment reminders by text message, email, phone or WhatsApp. These reminders are provided as a courtesy.
It remains your responsibility to remember your appointment time and to contact us if you need to cancel or rearrange.
